Proposal Automation: Measurements In, Branded Multi-Option Proposal Out

What is a Proposal Automation?

Proposal automation turns measurements and a chosen scope into a branded, multi-option proposal in minutes, using your price book, and can carry an accepted proposal through e-signature and payment. A person sets prices and approves every proposal before it goes out.

The problem

What goes wrong without it

Estimating eats evenings. The salesperson measures during the day, builds the proposal at night, and the customer who wanted a number at the kitchen table gets it two days later — after they've heard from someone faster.

The input

  • Measurements from a report (e.g. Roofgraf, EagleView, Hover) or traced from satellite imagery
  • Your price book, options and margins
  • Scope notes from the site visit
The workflow

How it works, step by step

Proposal Automation workflow
  • Input
  • System / integration
  • AI step
  • Human step
  • Output
  1. Input

    Measurements in

A measurement report or a traced roofline supplies the quantities. Pitch and waste factors are applied by rule.

  2. System / integration

    Price from your book

Line items are priced from your price book, never invented. Good / better / best options are built from the same scope.

  3. AI step

    Draft the narrative

The scope description and option explanations are drafted in plain language from the line items.

  4. Human step

    Review and approve

The salesperson or owner reviews prices and wording and approves the proposal.

  5. Output

    Branded PDF

A branded, multi-option PDF is generated and sent.

  6. System / integration

    Signature and payment

An accepted proposal moves to e-signature and a payment link; a person confirms before a payment is recorded as settled.

The output

  • A branded PDF proposal with multiple options
  • A structured record of the quote for follow-up and reporting
  • A signed agreement and payment link when accepted

The integrations

  • Python + WeasyPrint (PDF generation)
  • Measurement report imports (PDF, KML/KMZ)
  • Stripe (payments)
  • E-signature provider (API access verified before build)

What the AI does, and what people do

The AI

  • Drafts scope narratives and option explanations from the line items
  • Reads measurement reports into structured quantities

The human

  • Owns the price book and every price on every proposal
  • Approves each proposal before it is sent
  • Confirms signatures and payments before work is scheduled
Business impact

What changes when it runs

  • Proposals go out the same day as the visit
  • Pricing stays consistent across salespeople
  • Accepted proposals move to signature and payment without re-typing

We describe impact qualitatively until we have measured numbers. Verified figures appear on case studies only.

Who it's for

  • Contractors and home-improvement companies quoting from measurements
  • Service businesses with a price book and repeatable options

Not a fit if…

  • Custom work where every quote needs a full engineering estimate

Built from real quoting work

The first version was a Python tool that took roof measurements and produced a branded, multi-option proposal for Certified Contracting. A sister tool traces a roofline on satellite imagery and prices permanent lighting per linear foot, correcting rake lengths for pitch. Both produce PDFs plus structured data, so every quote can be followed up and reported on.

Lessons from the payment step

Carrying a proposal all the way to payment exposed two traps worth knowing about. First, verify API access before you build: one e-signature vendor’s API turned out to be locked to an enterprise plan, and another’s wasn’t enabled on the account despite the plan. Second, a bank (ACH) payment that says “completed” at checkout is not settled money — the system keeps a separate processing state until funds clear.

Proposal Automation in practice

Business Process Automation·

What Should a Roofing Company Automate First?

A roofer's order of operations for automation: lead response, estimate follow-up, proposals, recruiting and invoices — and what should stay human.

Questions

Proposal Automation: common questions

Can it work from a measurement report we already buy?

Yes. It reads common report formats, and for simpler jobs it can trace measurements from satellite imagery.

Which e-signature tools does it support?

It depends on API access. We verify that your e-signature vendor's API is actually available on your plan before building, because some vendors restrict it to enterprise tiers.

Invoice-to-Job Automation

Invoice-to-job automation reads supplier invoices as they arrive by email, extracts the job reference, amounts and line items, and attaches each invoice to the matching job in your CRM. Anything it can't match with confidence goes to a person, so material cost is known per job instead of discovered at month end.
