What is Certified AI?

Certified AI is the AI systems practice of Certified Leadz LLC. It designs, builds and installs specific systems — lead response, recruiting, prospecting, call review, proposals, back-office automation and conversion websites — into a company's existing tools, with people kept on every consequential decision.

Who's behind it

One company, two brands

Certified Leadz LLC is an Arizona company founded by Xavier Medina. It operates two brands:

  • Certified AI™ — the systems we build and install for businesses (this page).
  • Certified Academy™ — sales training and AI coaching for commission teams, in development.

We also build on ourselves. Certified AI is the name of the operating system we're building to run Certified Leadz itself — on staging today, not production — and every rule in it (human approval, spend caps, evidence over scores) carries into client work.

Where the systems fit

AI Sales systems

An AI sales system handles the repetitive parts of selling — first response, qualifying questions, follow-up, call prep and call review — so salespeople spend their time on conversations and closing. People still price, negotiate, close and approve anything that commits the company.

AI Marketing systems

An AI marketing system connects the places leads come from — ads, search, social, your website — to the follow-up that turns them into conversations, and records which source produced which customer. The AI parts draft, sort and re-engage; the tracking makes spend decisions measurable.

AI Operations systems

An AI operations system takes the paperwork that follows every sale — proposals, supplier invoices, job updates, handoffs — and moves it to the right place automatically, flagging only the exceptions for a person. It is how an owner-run company stops losing evenings to admin.

AI Lead Response

An AI lead response system replies to every new inquiry within seconds, asks the qualifying questions you would ask, books a time with a person, and keeps following up until the lead answers or opts out — then hands a qualified, summarized lead to a human.

Beta: Applicant intake and screening run live for Certified Contracting. Outbound messaging is waiting on Meta app review and carrier SMS registration.

AI Recruiting Engine

An AI recruiting engine takes applicants from recruiting ads, asks only the screening questions their application didn't answer, rates each requirement with the applicant's own words as evidence, and books qualified people into interviews. A person makes every hiring decision.

Live: Running for Certified Leadz's own outbound calling. Every call is placed by a person.

Outbound Prospecting Engine

An outbound prospecting engine finds businesses that match your ideal customer every night, scores them with transparent rules, removes anyone who can't legally or sensibly be called, and gives each rep a prioritized queue with a one-screen brief — so the day starts with dialing, not list-building.

Built: Built into our internal sales tooling and tested; not yet running on live client calls. Real-time, during-the-call coaching is a concept, not a feature.

Sales Call Intelligence

Sales call intelligence transcribes consented sales calls and reviews them against your own playbook — discovery questions asked, objections handled, next step set — so a manager gets a short list of coaching moments per rep instead of hours of recordings. It supports the manager; it does not replace coaching.

Built: The proposal and quote generators were built for Certified Contracting. The proposal-to-signature-to-payment flow in Certified AI runs on staging.

Proposal Automation

Proposal automation turns measurements and a chosen scope into a branded, multi-option proposal in minutes, using your price book, and can carry an accepted proposal through e-signature and payment. A person sets prices and approves every proposal before it goes out.

Built: Built for Certified Contracting's JobNimbus account. Matching rules are specific to each company's suppliers and job naming.

Invoice-to-Job Automation

Invoice-to-job automation reads supplier invoices as they arrive by email, extracts the job reference, amounts and line items, and attaches each invoice to the matching job in your CRM. Anything it can't match with confidence goes to a person, so material cost is known per job instead of discovered at month end.

Coming soon: In development for Certified Leadz's own line. Not live yet — we'll change this label when it is answering real calls.

AI Receptionist

An AI receptionist answers the business phone line first, identifies itself as an assistant, handles routine questions, captures who is calling and why, and transfers the call — or books a callback — when a person is needed. Every call ends as a logged record with a summary.

Live: This site is one. Earlier contractor lead pages were built the same way.

Conversion Website

A conversion website is a fast, crawlable site whose job is to turn visitors into conversations: it captures each inquiry with its source and campaign, routes it into the CRM and follow-up automatically, and reports which pages and channels produce real leads.

Certified AI: common questions

Can AI connect to my CRM?

Usually, yes — if your CRM has an API or accepts webhooks, which most do. We check API access end to end before we build, because some vendors lock their API behind an enterprise plan. If your CRM can't be reached, we tell you before any work starts.

How long does a system take to build?

A single system — for example lead response wired into your CRM — is typically scoped in the first call and built over a few weeks, depending on account access and approvals like SMS registration or Meta app review, which are outside anyone's control. We give you a written scope with milestones before starting.

What can AI automate in a small business?

The work that repeats with the same shape every time: responding to new leads, asking qualifying questions, drafting follow-ups, summarizing calls, routing documents to the right job, building proposals from measurements, and reminding people what is due. It should not own pricing exceptions, hiring decisions, legal or financial judgment, or conversations with an upset customer.

What does Certified AI install?

Specific systems, one bottleneck at a time: lead response and follow-up, recruiting and applicant screening, outbound prospecting and dialing, proposals and quoting, back-office document routing, and conversion-focused websites with tracking. Each is scoped in writing, built against your tools, and handed over in your name.

What is an AI sales system?

A set of connected steps that moves a lead from first contact to a booked conversation or signed deal, where AI handles the repetitive parts — first response, qualification questions, summaries, reminders — and people handle judgment, relationships and closing. It runs inside the tools you already use rather than replacing your team.

Who owns what you build?

You do. Ad accounts, phone numbers, domains, CRM data and the automations run in your accounts and your name. If you want to run it yourself later, you can.
