An AI lead response system replies to every new inquiry within seconds, asks the qualifying questions you would ask, books a time with a person, and keeps following up until the lead answers or opts out — then hands a qualified, summarized lead to a human.

Architecture

The lead response system is event-driven. Each new lead is an event with a source, and every step after it — consent check, first reply, qualification, alert, booking, follow-up — is recorded against that lead. Nothing lives only in someone’s text messages.

  • Intake: web forms post to the site’s form handler; ad platforms deliver leads by webhook, with a short-interval poller as a safety net because webhooks do occasionally fail.
  • Decision layer: plain rules decide whether a message may be sent (consent, hours, opt-outs, duplicates). AI never decides whether it is allowed to contact someone.
  • Conversation layer: a language model writes and reads messages within the approved wording, and hands off to a person on defined triggers.
  • Handoff: bookings and summaries are written to the CRM with the original attribution, so a closed deal can be traced to its campaign.

What we learned running it on ourselves

We run versions of this inside our own businesses — to screen recruiting applicants and to re-engage past homeowner conversations — and the lessons shaped the design:

  • Reply once per burst, not once per message. People send three texts in a row. Answering each one separately reads like a bot.
  • Treat “ok” as an answer. Short replies carry meaning; the system has to extract it rather than asking again.
  • Check delivery, not just sending. A messaging service can silently drop inbound texts. A bounced message is not a contact.
  • Registration gates are real. Carrier registration and ad-platform app review can hold an otherwise finished system for weeks, so they start on day one.

How fast is "instant"?

The first text is sent as soon as the lead record is created, typically within seconds — subject to consent and your allowed contact hours.

Do I need to register for texting?

Yes. Business texting in the US requires A2P 10DLC registration through your carrier or provider. Approval takes days to weeks and is outside anyone's control, so we start it first.

What happens when someone replies STOP?

They are suppressed immediately and permanently, and the opt-out is recorded on the lead.
